LIMITATION OF LIABILITY AND NATURE OF SERVICES

Asset Proofs provides exclusively technical documentation, physical recording, and digital capture services for objects, artworks, and collections. Such documentation does not constitute and does not replace proof of ownership, legal title, valuation, registration of rights, creation of proprietary or contractual rights, nor representation or mediation in any transaction. All statements regarding ownership, lawful possession, and provenance are the sole responsibility of the applicant.

Asset Proofs is an independent private documentation body and does not constitute a public registry, state authority, insurance entity, or legal authority. All services are provided strictly as private technical documentation services.

The role of Asset Proofs is limited to the technical recording, organisation, and digital documentation of tangible private assets, based on the information and physical access provided by the client. Asset Proofs does not provide legal certification, valuations, tax or insurance advice, or public registration, unless expressly agreed in a separate written agreement.

Each documentation constitutes a professional technical record reflecting the physical existence, condition, and characteristics of the asset at the time of recording. It does not constitute proof of legal ownership, commercial value, future condition, or any guarantee of authenticity beyond visual and technical documentation.

DIGITAL DELIVERY AND HOSTING

Digital files are delivered through secure private digital access for a limited period of one (1) month exclusively for download purposes. Upon expiry of this period, files may be permanently deleted without further notice, and Asset Proofs bears no responsibility for data loss.

Digital hosting of records is optional and offered as a separate institutional service. Hosting does not affect the validity, legal standing, or evidentiary value of the issued technical records.

Responsibility for storage, backup, and long-term retention of digital files after delivery rests exclusively with the client.

CLIENT RESPONSIBILITY

The client bears full responsibility for the accuracy, legality, ownership status, and provenance of the assets submitted for documentation. Asset Proofs relies on the information and access provided by the client and bears no liability for false declarations, undisclosed third-party claims, or legal disputes.

CONFIDELIALITY AND PROFESSIONAL CONDUCT

All documentation, digital files, and records are strictly confidential and accessible only to the lawful owner and duly authorised representatives. Asset Proofs operates under strict confidentiality, institutional neutrality, and professional discretion.

INSTITUTIONAL CONTINUITY OF RECORDS

Asset Proofs maintains institutional continuity of all issued reference numbers and technical records, ensuring long-term verifiability, traceability, and evidentiary reference of private registry documentation.

ACCEPTANCE OF TERMS

By using Asset Proofs services, the client confirms that they have read, understood, and fully accepted these Terms and Conditions.
